Add Line Items to a Transaction to Record Multiple Purposes

In this article, we aim to show you how to split a transaction into multiple line items to code portions for different purposes directly from your transaction ledger.

Introduction

Mazlo allows you to split a transaction for multiple purposes, helping fiscal sponsors and projects build detailed reports. This means you can record exactly what each part of a transaction is for. Simply open a transaction, add an extra accounting line, and segment the amount to code it for different purposes.

Add a Line Item to a Check Deposit

Step 1: Open a Check Donation's Details

Step 2: Add a New Line Item

If a donation is for multiple purposes, you can record these details by adding a line item for each purpose.

Step 3: Set the Amount of the Additional Line Item

With a new line item created, you can set the amount that is different for this purpose.

Step 4: Update the First Line Item to Balance the Transaction

Edit the credit amount in line item 1 to reach a perfectly balanced transaction. Subtract the amount of line item 2 from line item 1.

A perfectly balanced transaction will follow this simple equation: Line item 1 + Line item 2 = Total Amount

Step 5: Set the Donor Details of Line Item 2

Step 6: Select the Accounting Code for Line Item 2

Click on the Accounting Code field.

Then select the revenue code that identifies this check correctly.

Step 7: Add an Internal Note for Line Item 2

Within the internal notes, record donor restrictions for each portion of the donation.

Step 8: Tag Line Item 2 to a Grant

If a portion of this donation is for a grant, you can tag the grant within a specific line item, without allocating the full amount towards the grant (line item 1 will not be tagged towards the grant funding).

Step 9: Upload an Attachment to Line Item 2

Step 10: Mark this Donation as Complete and Click Save

Add a Line Item to a Card Payment Transaction

Step 1: Open a Card Payment's Details

Step 2: Add a New Line Item

If a Mazlo card payment includes multiple expenses, you can record this directly within the transaction details.

Step 3: Set the Amount of the Additional Line Item

With a new line item created, you can enter the amount to segment different elements of the purchase, such as multiple items of goods purchased together.

Step 4: Update the First Line Item to Balance the Transaction

Edit the debit amount in line item 1 to reach a perfectly balanced transaction. Subtract the amount of line item 2 from line item 1.

A perfectly balanced transaction will follow this simple equation: Line item 1 + Line item 2 = Total Amount

Step 5: Select the Payment Category of Line Item 2

Step 6: Select the Accounting Code for Line Item 2

Step 7: Add an Internal Note for Line Item 2

Step 8: Upload an Attachment to Line Item 2

Upload an attachment of the invoice and receipt.

Step 9: Mark this Donation as Complete and Click Save

Step 1: Open an ACH Payment's Details

Open an ACH payment to split it for multiple purposes.

Step 2: Add a New Line Item

If an ACH payment includes multiple expenses, you can record this directly within the transaction details.

Step 3: Set the Amount of the Additional Line Item

With a new line item created, you can enter the amount to segment different elements of the purchase, such as a payment for goods in addition to a service.
